If you have never received a message stating that you have reached your storage limit from system administrator, you can consider yourself lucky. E-mail boxes in a place as busy as Rockhurst fill up fast and some students and employees may receive a message stating that they can no longer send or receive email because their mailbox is full.
Current Storage Limits
Students: 30MB
Faculty & Staff: 60MB
The following steps will allow you to check your email usage: (These steps are not valid through Outlook Web Access. You must do this from a Rockhurst campus computer)
- After logging onto a computer campus, open Microsoft Outlook
- From your Folder List, right-click Mailbox - Your Name from the listed items. Generally the first item listed in your Folder List
- Select Properties
- From the Properties window that opens up, click Folder Size at the bottom left-hand corner of the window
- Check your Total Size (including subfolders). If this number is greater than or relatively close to 30000kb (60000kb for employees), there is a problem
Here are some easy tips to follow in order to prevent a full mailbox.
- Save attachments to your H: drive. Nothing takes up more space than pictures sitting in your Inbox or other folders. If the attachment is important, save it instead of just opening it. This way, you can delete the email message, freeing up the space the attachment was taking up.
- Frequently check your Sent Items folder. If you send emails with attachments such as pictures, these attachments will take up space sitting in your Sent Items folder.
- Empty the Deleted Items folder. Just because you have deleted items from your Inbox, it doesn't mean the item is gone from your email account. Everything you thought was removed from your Inbox is stored in your Deleted Items folder until you tell Outlook otherwise. To empty the Deleted Items folder, right-click on folder, then select Empty "Deleted Items" folder from the menu.
- Empty the Drafts folder. Even if you don't remember creating or saving a draft, it's a good idea to check and delete unwanted items from the Drafts folder, just like you would the Deleted Items and Sent Items folders.
- Empty the Junk E-mail folder. Remember to purge your Delete Items again after you remove them from your Junk E-mail folder.
- Use Personal Folders or Outlook Data Files (Employees only). These folders can store your email just as your Inbox would; however, it removes the messages from the email server thus freeing up space in your email account. Note - If you create the personal folder on your C: drive, you will not have access to the email from another computer. Remember, when it comes to Outlook folders, keep it simple. Outlook Data Files should not be saved to your H: drive or any other network share.
